Auto Repair Reputation Management: The 5-Star Guide

Today, online reputation management is a key tactic top shops use to attract more customers. Online presence is often the first—and sometimes only—impression a customer has of your business. This guide will dive deep into why automotive reputation management is no longer optional, how it impacts your SEO search rankings, and the specific strategies you can use to attract more 5-star reviews.

The importance of online reviews for auto repair shops

Why do online reviews matter so much in the auto repair world? The answer is that most customers check online reviews from Google and other search engines as part of their decision-making process. In addition, online reviews impact your SEO rankings and can help you differentiate your shop from the competition. Here are some other top reasons to keep track of your reviews:

Build trust

High-quality testimonials help build trust before the customer even sets foot in your lobby. Research consistently shows that the majority of customers read online reviews before feeling they can trust a local business. For auto repair shops, positive reviews act as social proof that your shop provides quality services.

Local SEO

When a prospect searches for "oil change near me", the results they see are heavily influenced by SEO strategies. Google prioritizes businesses with a high volume of new reviews, high star ratings, and a complete, active profile. If your competitors have 200 reviews and a 4.8-star average, while you have 120 3-star reviews from 2019, Google will rank your competiton higher. Review management directly impacts your rankings, rankings impact your visibility, and visibility impacts how many customers show up to your shop.

Beating the competition

Go ahead and Google your competition. How many reviews do they have? Do they average 2-star or 5-star reviews? By focusing on auto repair reputation management, you can position your shop as the best in your area. New customers are often hesitant to try a new shop; seeing a consistent stream of positive feedback from satisfied customers lowers that risk and encourages them to stop by.

Another way to move past your competition is to leverage Google Ads. Search ads can help you boost your visibility in more competitive markets and keep your business top of mind.

Best practices for managing your shop's online reputation

Successful auto repair reputation management is a continuous project. Top performing shops have software and employees dedicated to monitoring online reviews. To stay ahead, shops need to follow best practices to maximize their online visibility.

Best practices for online review management for automotive businesses.

Claim and optimize your profiles

Claim your listings in Google Business, Yelp, and Facebook. Once claimed, you can optimize your profiles by making sure your business name, address, and phone number are consistent across the web. Upload high-resolution photos of your shop, your front-desk staff, and your comfortable waiting area. A professional-looking profile sets the stage for a 5-star experience.

Use the right tools

Many shop owners utilize reputation management software to aggregate reviews into a single dashboard. This allows you to ask for reviews and respond to them in the same platform.

Tek-Tip: Overwhelmed? Tekmetric offers auto repair reputation management software that makes it easier to attract new reviews and respond to exisiting review in one platform.

Diversify your review sources

While Google reviews are often the focus of local SEO, don't ignore other platforms. Some customers prefer Yelp, while others might find you through social media. Directing a small percentage of your review requests to different platforms ensures a well-rounded online presence.

Make it a team effort

Your service advisors are the faces of your automotive brand. Train your staff on the importance of the customer experience. If your technician or service advisor is mentioned in a 5-star review, encourage that behavior by rewarding them accordingly. Make it a competition to see who can earn the most 5-star reviews in a month.

Quality control

Use customer feedback internally to improve your operations. If you notice a trend in negative feedback regarding long wait times, don't just ignore it. Use those insights to refine your workflows and teach employees.

How to respond to customer reviews

Responding to online reviews is perhaps the most critical part of review monitoring. It shows potential customers that you are attentive and care about your customers.

Responding to positive reviews

Don't just "like" a 5-star review. Take a moment to write a personalized response.

  • Acknowledge them by name: "Hi Sarah, thank you for the kind words!"
  • Highlight a specific service: "We’re glad we could get that oil change done quickly for you."
  • Invite them back: "We look forward to seeing you at your next service!"

These responses reinforce customer trust and encourage them to come back to your shop for service in the future.

Handling negative reviews

Negative reviews are inevitable in the any business. Parts fail, delays happen, and sometimes there are misunderstandings about pricing. The key is how you handle the negative feedback.

  1. Stay professional: Never get defensive or angry. Remember, your response is for the future customers reading the review, not just the upset one.
  2. Acknowledge and apologize: "We’re sorry to hear that your experience didn't meet our standards."
  3. Move it offline: Provide a name and a phone number for them to contact directly. "We would like to make this right. Please call our manager, Jim, at [Number]."
  4. Keep it brief: Don't get into a "he-said, she-said" battle on public forums.

Tekmetric offers a feature called private feedback where you can engage with upset customers before it goes public.

Benefits of responding

Regularly responding to reviews tells search engines and prospects that your business is active. This can provide a slight boost to your search rankings. In addition, if you successfully resolve a customer's issue mentioned in a negative review, you can ask them to go back and edit their star ratings or delete the negative feedback entirely.

How to attract more 5-Star reviews for your automotive business

Reviews can come in naturally but customers often need to be prompted to leave a review. While unhappy customers are often highly motivated to vent, satisfied customers frequently forget to share their experiences. The best performing shops have an automated way to ask for, collect, and respond to reviews.

Ask consistently

The simplest way to get more positive reviews is to ask for them. However, timing is everything. The best time to ask for a review is within 24 hours of service before customers move on and forget. A simple, "We're so glad we could get you back on the road! If you're happy with the service, would you mind leaving us a quick review?" goes a long way. Make it easy for the customer by providing a Google review button or link with your completed invoices.

Don’t forget that physical signage can be effective as well. Add a QR code or sign in your lobby asking for customers to leave a 5-star review which will enter them into a drawing for a free oil change.

Leverage SMS and automation

In the automotive industry, convenience is king. Using SMS for review requests has a significantly higher open rate than email. By integrating automation with your Shop Management System (SMS), you can trigger a text message to be sent automatically after a work order is closed. This message should include a direct link to your Google or Yelp profile, making the review process frictionless for the user.

Go the extra mile

One of the best ways to earn a 5-star automotive review is through transparency. Digital Vehicle Inspections (DVIs) allow you to send photos and videos of the needed repairs directly to the customer's phone. When a customer sees the worn-out brake pad, they feel more confident in the repair services. This transparency naturally leads to higher customer satisfaction and better reviews.

Final thoughts

Reputation management creates a natural cycle where great service leads to positive reviews, which improves your local SEO, which attracts new customers, who then leave more reviews. If managing all of this feels overwhelming, Tekmetric can help with online review management software specifically tailored for the automotive industry.

By implementing a clear reputation management strategy, utilizing automation for review collection, and staying active on social media and review sites, you ensure that your auto shop remains the top choice in your community. Remember, every satisfied customer is a potential spokesperson for your brand.

Businesses are buckling down and tightening their checkbooks in an effort to control expenses to avoid or reduce the effects of a potential recession.

But in the auto repair industry, there are unique opportunities that come with uncertainty in the market – and that’s more business opportunities.

With the right strategies, you may find that it’s entirely possible for your shop to not only survive an economic recession – but thrive and grow.

Tekmetric CEO Sunil Patel Talks Mindset and Growing Your Auto Repair Business

“If you are interested in picking up a new hobby like boating, you’ll do everything you can to learn more and more and more. Why can’t you do that with your auto repair shop?

Is it because it’s boring?

Is it because it’s not the same?

It doesn’t excite you as much as your hobby would?

If you take a second and stop to think, you’ll realize you can have any hobby in the world if you focus on your repair shop and get it to where it needs to be.

There is no waiting for the right person to walk through the door. There is no waiting for the right technician."

"It has to happen right now, today."

Tekmetric Co-CEO and Co-Founder Sunil Patel recently joined Kelsey Outram on the LIFT Your Shop Podcast to talk tech, mentorship, and transforming your auto repair business.

From medical school to law enforcement, Sunil tried his hand at a variety of fields over the years, but eventually all roads led him to founding Tekmetric with Prasanth Chilukuri in 2016.

Tekmetric quickly became the preferred shop management system in the auto repair industry.

And if you ask Sunil why, he’ll say it’s all about mindset.

If you’re a shop owner who has been feeling stuck, here are six steps you can take to shift gears.

1. Define Your Goals

“When you really set your mind to something, it subconsciously changes how you behave as a human, as a person. And you hone in on what you’re trying to accomplish and you accomplish that task.”

Here are some examples of goals you might hear people talk about in the auto repair industry:

  • “I want to make one million dollars in revenue this year."
  • “I would like to add another bay to the shop by the end of the year."
  • “I want to open another location in 2023.”

What do these goals all have in common? They are specific, achievable, and easy to track.

In the same way that it’s difficult to plan a vacation without having a travel destination in mind, it’s difficult to achieve a goal if you never set one in the first place.

Knowing where you want to go is the first step toward figuring out a roadmap to get there.

2. Accept That Change is Part of the Process

“Forget about the technology and software and all that for a moment, and ask yourself this: Are you happy with where you are today running your shop? And if the answer is no, then dig deeper.”

Whether your shop is looking to switch parts suppliers or invest in a new shop management system, change can be intimidating.

Many shops experience growing pains, but keeping an open mind is essential to driving your business forward.

Sunil Patel on How Tekmetric is Revolutionizing the Auto Industry

Co-CEO and Co-Founder of Tekmetric Sunil Patel joined Editor Chris Jones on Ratchet+Wrench Radio to talk about how shop management software suites are changing the landscape of the auto repair industry, especially when it comes to building relationships and communicating effectively.

Sunil also touched on the history of some of Tekmetric’s relationships and how Tekmetric makes sure the voices of shop owners are heard.

Listen here, or catch some of the highlights below.

Note: some of the following answers have been condensed for clarity and brevity.

Relationship-Building 101: Laying Down a Solid Foundation

Jones: The last time we saw each other was at WorldPac STX in Orlando. And that’s where you guys announced a partnership with Advance Auto Parts. I know a lot of our readers have seen it, but can you share a little bit about the details with our audience, just from your own words and perspective?

Patel: So we’ve had a great relationship with Advance Auto Parts for a very long time. And we wanted to leverage the relationship to try to get more shops to use Tekmetric, and it just happened to be the right place, right time.

Side note: For those that don’t know, Advance Auto Parts actually owns WorldPac and Sunil Patel’s relationship with both goes way back. Before co-founding Tekmetric, Patel owned an auto repair shop that was one of the highest purchasers of parts from WorldPac in Houston for almost a decade.

Jones: That’s kind of cool to see how the relationship evolved over the years.

Patel: It’s a big company. It’s not like turning a speedboat, it’s like turning a steamship. Sometimes it just takes time to let some of these relationships play out. It affects so many people. We have to be absolutely sure of how this is going to play out, and how it’s going to work.

Using Shop Management Software to Get Everyone on the Same Page

Jones: So let’s talk about shop ownership a little bit. You were once a shop owner kind of in the Dark Ages before we had these robust shop management software suites. What was it like for you to operate on these limited tools?

Patel: You know, it was tough. Customers didn't always respond back, and we would always have to follow up with a phone call. There was always a disconnect.

We were probably ahead of our time 12 years ago trying to get some of this stuff out. Tekmetric used a combination of manual processes and text messaging. Text messaging was pretty popular back then, but MMS or multimedia messaging or picture messaging was not so popular.

So adding that in the mix with communications and whatnot into one platform has been very paramount to the success of our company because it closes the loop between the vehicle owner, the shop owner, the technician, and the service writer.

It keeps everybody on the same platform and communications thread. That way everybody has full visibility into what's going on with the repair of that vehicle to ensure a timely repair—ultimately making the customer happy.

Scaling Your Auto Repair Business With Real-Time Reports

Prasanth Chilukuri understands the challenges that shop owners face each day with gaps in their efficiency and margins, which is why he co-founded Tekmetric with Sunil Patel in 2016.

Vehicle Service Pros published some of Prasanth’s tips for strategically growing an auto repair business with a shop management system like Tekmetric.

You can access his full piece here, or check out some of the highlights below.

Balance Is Key to Making Better-Informed Business Decisions

Shop owners make countless daily decisions that affect their customers, their team, and their business.

Making good business decisions is essential to keeping everyone happy and keeping the lights on in the shop, but how do you know what the right decision is?

According to Prasanth, the key to any successful business is finding the right balance between soft skills like intuition or relationship-building and hard skills like data analysis.

Both types of skills are important, but knowing when to employ each one is the trick to making better-informed decisions and growing your business.

Intuition is useful when shop owners have to make split-second decisions and often goes hand in hand with interpersonal skills. The auto repair industry isn’t just about cars, after all; it’s about people, too.

By learning how to pick up on cues and anticipate the needs of customers, employees, and vendors, shop owners can foster long-lasting relationships that grow alongside their business.

Of course, there’s only one way to know whether your shop is truly turning a profit: look at the numbers and analyze the results. Data can support any hunches you have about the health of your business, for better or for worse, so you can plan accordingly.

But if your shop is still tied to manual methods, gathering key information about parts usage and labor costs is probably not easy or convenient.

Why Manual Methods Just Can’t Keep Up

A shop management system might not be able to make business decisions for you, but it can help shop owners make sense of their key metrics and data. According to Prasanth, looking at the cold, hard facts is essential to boost the efficiency and profitability of the shop.

The science of data might seem contrary to the art of intuition at first, but they’re more related than you might think. As Prasanth describes, data can add support to a shop owner’s intuition or observations and reveal key information that can’t necessarily be gathered from conversations with customers and employees.

Unfortunately, trying to sort through the shop’s data by hand can be exhausting and often means missing family dinners to crunch the numbers after hours. And manually calculating daily, weekly, or monthly metrics can quickly become a headache with much larger room for human error.

Without real-time reporting tools, inventory counts and gross profit can’t necessarily be trusted and will always provide an out-of-date view of your business at best.

Being tied to manual processes for data collection also means being tied to the shop and losing out on valuable face-to-face time with the customers supporting the business.

As a result, shop owners are often left making the difficult decision between nurturing their intuition and building relationships, or focusing on the data and shop profitability when both are essential to the long-term success of the business. With Tekmetric, you can do both.

Get the Full Picture With Tekmetric

Tekmetric is a shop management system that comes fully equipped with business reporting tools within a repair orders software suite.

Tekmetric tracks key performance indicators like employee efficiency, parts usage, and profitability ‘round the clock so shop owners can focus on the more high-level aspects of their business.

Real-time reports are always available with numbers that are already calculated and organized.

A bird’s eye view of the shop gives shop owners the power to tailor their business plan and strategy by:

  • Adjusting parts and labor matrices to maximize margins
  • Extending or removing a running promotion
  • Deciding to add more people to the team
  • Knowing when it’s the right time to expand the business with new bays or by opening a new location

Transforming the Shop Owner Experience with the Right Tools

As a shop owner, you have the ability to tune into your shop’s performance metrics, employees’ bandwidth, and overall profit margins with a few clicks.

Lucas Underwood and David Roman, hosts of the ASOG podcast, recently sat down with Tekmetric CEO Sunil Patel at the Vision Hi-Tech Training and Expo in Kansas City, Kansas.

Sunil shared some key insights into facing challenges, embracing change, streamlining processes, prioritizing customers, and the power of “always starting with why.”

Note: the following answers have been condensed for clarity.

On Facing Challenges and Handling Stress

ASOG: We spoke with PJ Leslie (Tekmetric’s Business Development Director) recently, and he was talking to us about your ability to take anything that comes your way and overcome it.

PJ shared with us that no matter the circumstance, you’re always able to say, “We’re going to get through this, and we’re going to make something from it.”

You created an amazing thing despite the adversity that you’ve faced. How were you able to do that?

Patel: My wife and I went through some hard times with our daughter, Brianna, about a year ago.

And what I told my wife during that time was, “You know what? I’m ready to face this challenge.

We’re going to find the best doctor we can find and the best solution for her. And Brianna will live life one day at a time.

We’re not going to think about the future, we’re going to live life today.”

Since that day it’s been almost ten months and everything has been great. She’s doing beautifully.

A key component to handling stress is delegation.

You’ve got to let go of some of your responsibilities no matter how unnerving it is. Remind yourself that you can continue to keep your momentum on your shop, business, and goals by delegating.

That’s why you have a team—so you can tackle and conquer each task that comes your way.

On Embracing Change and Switching Gears

ASOG: You’ve gone from being a physician to a police officer to an auto repair shop owner, and now you’re the co-founder and CEO of Tekmetric. What made you want to go from physician to shop owner?

Was there a rock bottom for you? Was there a point where you decided, “I don’t want to be a physician any longer?”

Patel: I was fortunate that I never hit rock bottom. I’ve always tried to live in the moment. And I’m always intrigued by learning new things. With that being said, it took me going from industry to industry to learn the skills that helped form Tekmetric.

Let’s say you set a goal for yourself to go to the gym more often.

Now, if you don’t want to go to the gym, then you will keep training your mind to make sure that gym is just not your thing. It’s not until you have a breakthrough that you are able to change your mindset.

You have to train your reticular activating system (RAS), a network of nerve pathways located in the brain stem that mediates overall behavior, so that going to the gym becomes a positive activity.

Along with reminding yourself that you want to go to the gym, write down when you want to make the change and why.

Let’s say this is your goal, 'In March 2023, I will feel great, I will look great, my clothes will fit me better, and I can hear my family and friends saying ‘You’ve done a fantastic job.'

You have to recognize and reframe each limiting belief that is preventing you from achieving your end goal. An example of a limiting belief would be something along the lines of, "Ah, I’ve had a long day, I can just go to the gym tomorrow.' You have to reframe it to, 'I’ve had a long day, time to finish strong with a trip to the gym.'

You have to be very intentional. You truly have to want to reach the finish line.

This concept goes for shop owners, too. If you’re wanting to expand your shop, you’ll need to change the way you’re running your business. You can do that with shop management software.

How 500 High-Performing Auto Repair Shops Reacted to COVID-19

Read time: 3 min

Remember spring and summer of 2020? A lot of us are probably trying to forget and move forward, and we feel you. It was a scary time period for everyone, including the automotive repair industry.

Last April, auto shop owners were wondering, are my customers going to come into the shop? If people stay inside, are they going to drive less? If they drive less, are they still going to come into the shop as frequently? What if other industries are affected, and people have less money for repairs?

We were nervous like everyone else. But anyone who knows Tekmetric knows that we’re committed to driving the auto repair industry forward; we wanted to answer these questions and put Auto Repair Professionals’ minds at ease.

We also wanted to enable shops to not only endure the pandemic but also grow and come out stronger than ever before.

Strength in Numbers

If there’s one thing that makes us feel confident, empowered, and like we know what’s going on, it’s numbers. (Tracking shop performance and providing insights is kind of our thing).

We’ve seen the power of metrics in shops across America, and we know that customers, service advisors, technicians, and the entire auto repair industry benefit when auto shop owners can make informed decisions.

So we launched the TM-500 Index. The TM-500 tracks the Average Repair Order and Car Count of five hundred auto repair shops located across the United States. But data don’t mean squat if it ain’t easy to read. The TM-500 let’s users sort data by time and region so they can quickly explore trends.

Want to know the ARO and Car Count between the months of June and November of 2020? Simply set the time period “by month,” and the TM-500 will generate an easy-to-read graph.

Want to know if shops in midwest states had a higher or lower Car Count than southwest states last summer? Simply set the time period you want to observe, and hover over different regions on a map of the United States to learn how they performed.

Just as the Tekmetric system for auto repair shop management gives shop owners better insights into their shops, the TM-500 gives Auto Repair Professionals better insights into their industry.

But knowing is only half the battle.

A Catalyst for Digital Transformation

The auto repair industry has lagged behind almost every other service industry in how we utilize technology. Almost anyone with a smartphone can order a pizza, sushi, enchiladas, or any other food they want and track it while it’s being delivered to their door.

Meanwhile, someone paying hundreds or even thousands of dollars for a new transmission still has to go in-person and deal with a half-legible piece of paper that feels greasier than the pizza and enchiladas put together!

But we get it. People are sometimes reluctant to change. For many auto shop owners, however, the COVID-19 pandemic was the “now or never” moment to fully digitize their shops.

In 2020, Tekmetric prioritized the rollout of several features we had been working on to help shops provide their customers with the experience they’ve come to expect in almost every other part of their lives. In April of 2020, we rolled out Text-to-Pay, allowing shops to invoice and collect payment via text message.

In November of 2020, we rolled out True Two-Way Texting to make it easy for service advisors and customers to communicate throughout the entire repair process.

Combined, these two features enabled Tekmetric users to provide a completely touchless experience to their customers without sacrificing the quality of their work or customer service.

Much like in other industries, customers who bring their cars in for repairs appreciate the extra service and transparency of a more enhanced, digitally assisted customer experience.

As we watched many shops grow by using Tekmessage and Tekmerchant, we kept an eye on the overall performance of the TM-500. We were able to see when shops began to bounce back in summer after an early slump, and developed other understandings about where the industry was headed.

Over time, we have added new metrics to the TM-500 such as state-by-state Labor Margin, Parts Margin, Effective Labor Rate, and Car Count to gain a more complete picture of these high-performing shops.

What Have We Learned Since the Onset of the Pandemic?

When making conclusions about where the industry is going, we like to be informed by both quantitative and qualitative data.

The numbers give us a factual look at what’s gone up or down, and talking to people in the industry helps us make correlations between how certain behaviors, processes, and principles affect these trends.

Between the data we gathered from the TM-500 and the feedback we were able to gather from talking to auto shop owners, here’s what we have learned.

HOUSTON – October 31, 2023 – Tekmetric, industry leading automotive repair shop management system, has released Smart Jobs, the industry’s first smart job building feature that quickly builds jobs in just one click to help streamline the creation of repair orders. In just one click, shops can quickly build an estimate with parts and labor, check on-hand inventory levels and shop at preferred vendors right in Tekmetric. This revolutionary feature enables service advisors to focus on customer service while simultaneously reducing workload.

"When it comes to running an independent auto repair business, efficiency is paramount," said Sunil Patel, CEO of Tekmetric. "With Smart Jobs, shops have the opportunity to respond to customer needs quickly and accurately, saving time and hassle for everyone. This is a game-changer for our industry, and we are confident that it will revolutionize the way shops operate and deliver customer service."

With one click in Tekmetric, service advisors can now build a job based on the vehicle selected, and Tekmetric will automatically:

● Create a job title

● Add the relevant labor line and apply a labor matrix

● Add the necessary parts, filters and fluids and apply a parts matrix

● Check inventory for all parts, then fetch them from your favorite vendors if not in stock

● Apply a locked package price to the entire job

● Apply any necessary fees

In addition to building repair orders more efficiently, Smart Jobs also accelerates the parts ordering process. Not only can the feature automatically apply the correct quantity of parts, filters and fluids to the repair, but it also shops for out-of-stock items and prepares an order within Tekmetric. For quick jobs, like cabin air filters, Smart Jobs has been able to save approximately one minute per job, adding up quickly throughout the day. Smart Jobs can also help new employees to begin building jobs faster. This can lead to improved productivity and reduced errors, helping employees to produce high-quality work earlier in their training.

Smart Jobs will be available to Tekmetric customers in 2024. To request pricing or schedule a demo visit https://www.tekmetric.com/feature/smart-jobs.
